How an item is calculated
Quantity, days and rate, empty fields, flat fees, and what your client sees from the budget.
Every budget item has three number fields and an amount in the last column, Estimate.
The formula
Estimate = Qty × Days / hours × Rate
For example, two camera operators for three shoot days at £600 a day is 2 × 3 × 600 = £3,600.
The Days / hours column is a plain multiplier. If you charge an editor by the hour, enter the hours and the hourly rate.
Empty fields
- An empty Qty field counts as one. Once Days is filled in, a grey one appears in the empty Qty.
- An empty Days / hours field also counts as one.
- A row with neither quantity nor days does not count at all, even if it has a rate. That way your rate card can fill in rates for every item, and only the ones you use add up.
So a flat fee, such as a music licence, is entered as Qty 1 and a rate.
You can type amounts with spaces, with a decimal comma or a decimal point, the way you are used to in a spreadsheet.
Category scope for the client
Under each category name there is a Scope for the client field. While it is empty, the app writes it from the names of items with an amount and items you typed in yourself, such as “2 × Camera operator, Gaffer”. Text you edit yourself is not overwritten. The refresh button next to the field writes it again from scratch.
Turn this off in Settings → New quotes, with Category scope from line items.
What your client sees
The PDF shows category totals with their scope, without individual items, quantities or rates. Empty categories are hidden by default. Change that with Hide empty categories in the PDF on the Project information tab.
Tidying up
- Clear on a category empties the quantities, days and rates in that category.
- Clear estimate does the same for the whole quote. The project, contacts and quote content stay.
- Expand all and Collapse all open and close every category at once.
