Simple, Advanced or a custom item set
Which set to start with, what happens when you switch, and how to save your own budget layout.
An item set is the list of categories and items a budget starts from. The switch sits above the budget on the Cost items tab.
Simple and Advanced
- Simple has 55 items in 12 categories. It covers an ad spot, a corporate film, an interview or an event video.
- Advanced has 286 items, with separate crew roles, prep days, director fees and VFX. It suits commercials and bigger productions where the client or agency expects a detailed budget.
You can change the set while you work and nothing gets lost. The set only decides which empty items you see. Everything you entered stays: amounts, rows you added yourself, your order. An Advanced item with an amount stays after you go back to Simple too, at the end of its category, marked not in this set, and it counts as usual. Switching never changes the quote total on its own, and going back to the previous set brings the quote back exactly as it was.
A custom set
If you often quote similar jobs, arrange the budget your way and save it from the Custom menu.
- Save current as new… saves the categories and items of the current quote under your name.
- New empty… creates a set with no items, for when you would rather build the budget from scratch.
- Overwrite, Rename… and Delete apply to the set that is switched on.
A set you pick from the menu switches the open quote straight away, just like Simple and Advanced. The quote remembers which set it was made on and opens on it, on any computer. The exception is New empty…, which leaves the open quote alone. The empty set is used by your next new quote.
Categories and items in a quote
- + Add item under a category adds a row with your own name.
- + From the list… adds an item from the factory set that is not in the quote yet, with its rate from your rate card and its translations. It appears on a custom set.
- + Add category below the budget adds a category from the list or a new one with your own name.
- The two-sheets button next to a category name makes a copy right below the original, with its items, quantities and rates. You name the copy straight away in the window. A copy is always a custom category. New categories and copies stay in the quote; to keep them in a set, save or overwrite it.
- Rename a custom category with the pencil next to its name. Categories from a factory set keep fixed names, because they are translated into the document language.
- Remove a category with the cross next to its name once it has no amounts. Removing applies to this quote and does not create a set; a category from the set comes back through + Add category or Restore layout. Reorder categories and items with the ⠿ handle.
Category changes apply to the current quote. The set itself changes only when you overwrite it.
Restoring the layout
Restore layout above the budget undoes changes to what is in the list and in what order. Removed items and categories of the set you are working on come back, in its order. Quantities, days, rates, descriptions and actual costs stay with their items. Empty items outside the set are removed; those with an amount stay at the end of their category, so no amount disappears quietly. You can undo it for a few seconds.
The production subtotal line stays with its category. If the restored order moves a category to the other side of it, the app shows how the amount changes.
When the layout already matches the set, the button is greyed out.
